How much does an accountant cost in Poland (including one who speaks English)?

Typical 2026 monthly prices for a JDG and a sp. z o.o., the extra fees in the small print, English-speaking service, and what to put in the contract.

  • In 2026 a traditional office typically charges a JDG 150–250 PLN a month on ryczałt without VAT, and 290–490 PLN for a KPiR with VAT and up to 30 documents. Most offices quote prices before VAT.

In 2026 a sole trader (JDG) in Poland usually pays an accounting office between about 150 PLN and 490 PLN a month, and a small limited company (sp. z o.o.) between 800 and 1,400 PLN. Where you land depends mostly on your tax form, whether you charge VAT, and how many documents you hand over each month. Most offices quote before VAT, and service in English is available, sometimes for an extra fee.

No law makes a JDG hire an accountant at all. If you are still deciding, read whether you need an accountant first.

Typical monthly prices at a traditional office

These are market ranges from a price survey of biura rachunkowe (accounting offices) published in June 2026. They are not official figures, the survey does not say whether VAT is included, and each office sets its own price.

Two tax terms appear in the table. Ryczałt is the lump-sum tax on revenue, with a simple revenue register. The KPiR (podatkowa księga przychodów i rozchodów) is the tax book of revenue and expenses, used on the tax scale or the 19% flat tax.

A sp. z o.o. costs more because it must always keep full double-entry books (księgi rachunkowe), whatever its size, plus a monthly trial balance and an annual financial statement filed with the KRS, the court register.

The same survey puts offices in Warsaw and Kraków 15–25% above those in smaller regional cities. Some offices advertise much lower prices: check what those prices leave out before you compare.

Watch out: accounting services carry 23% VAT. If you are not a VAT payer, you cannot reclaim it, so a 149 PLN net fee costs you 183.27 PLN.

Online services that include an accountant

Online accounting apps also sell plans where a named accountant books your documents. You upload them to the app instead of bringing them to an office. These are the net list prices per month on each provider’s price page on 24 September 2026:

If you are happy to enter or approve documents yourself, self-service plans without an accountant cost about 40–70 PLN net a month for a sole trader. The software calculates your tax and your ZUS (social insurance) contributions and sends the JPK files (the electronic tax records), but you make the decisions.

What pushes the price up

Offices price by the work your month creates, not by the hour. The main drivers are:

  • Number of documents. Most price lists are per range of documents. At ifirma, every 5 extra cost documents add 33 PLN for a JDG and 70 PLN for a company. Ask what counts as a document: at ifirma a JDG pays for cost documents only, but a company’s bank statement counts as one document per 10 lines.
  • VAT. A VAT payer needs VAT records and a monthly or quarterly JPK_V7 file (the VAT return). That is why ryczałt with VAT costs more than without. See the VAT exemption limit (240,000 PLN from 1 January 2026).
  • Foreign invoices. Google, Adobe, AWS and other foreign suppliers with no fixed establishment in Poland do not have to issue invoices in KSeF, the national e-invoice system, so someone has to collect them and convert them to złoty. They can also mean extra VAT filings, even if you are VAT-exempt: see VAT-UE for Google, Adobe and AWS. ifirma charges a JDG 7 PLN per import-of-services entry.
  • Employees. Payroll is priced per person, usually 80–150 PLN.
  • Language. Contact in English is +95 PLN net at ifirma.
  • Lateness and mistakes. These are the fees people do not expect (next section).

Tip: on the tax scale or the 19% flat tax, the accountant’s fee is a normal business cost and lowers your income tax. On ryczałt it does not, because costs do not reduce ryczałt. A VAT payer can also deduct the VAT on the fee.

The extra fees in the small print

A fixed monthly fee assumes your documents arrive complete and on time. ifirma’s price list (checked 24 September 2026) is a good example of what happens when they do not:

For a company, the late-delivery surcharges are 160, 330 and 600 PLN. Suspending your business does not stop the bill straight away either: ifirma charges the full 211 PLN for a partial month and the first two full months, then 59 PLN a month with up to 5 documents.

Other offices use different numbers, but most have the same kind of list. Ask for it before you sign.

Finding an accountant who speaks English (or Ukrainian)

You will find English-speaking accountants at traditional offices and inside online services. It is not always included, so ask for the language of service in writing. inFakt’s help centre, for example, says its accountants speak English, German, French, Russian and Ukrainian, and its accountant search has a filter for foreign-language service. Its website and help centre are in Polish, though, so expect the paperwork around the service to be in Polish.

Whoever keeps them, the books are kept in Polish and in złoty. In a tax proceeding or audit, the tax office can also ask for a Polish translation of any foreign-language document, at your cost.

For foreigners: a sp. z o.o. may give its books only to a bookkeeper working under Polish business law or to one from another EU or EEA-EFTA country. A firm based only in Ukraine, the UK or the US does not qualify. For a JDG we found no rule on who may keep the book, but it must be in Polish and złoty and go through Polish online systems (e-Urząd Skarbowy for tax, eZUS for ZUS, and KSeF), so an accountant registered in Poland is the safe choice.

What the contract should say

Hiring an accountant does not move your responsibility. The taxpayer is liable for their taxes with all their assets, and in a company the management board stays responsible for the accounting. If the office makes a mistake, the tax office collects from you, and you claim your loss from the office. So the contract should cover:

  • Who files what: the JPK_V7, the ZUS DRA, the annual return and the year-end book file (JPK_PKPIR or JPK_EWP, first due by 30 April 2027 if you file VAT monthly, a year later for everyone else). Will you see each return before it goes out?
  • Your document deadline. No law sets it. The usual day is the 5th–10th of the following month.
  • How documents are handed over: email, a shared folder, the office’s portal, KSeF access.
  • Price, the document range, and every extra fee.
  • Liability insurance (OC). An office that keeps full accounting books must carry liability insurance of at least EUR 10,000 per event (42,156 PLN for policies signed in 2026). The duty is generally read as not covering an office that only keeps a KPiR or ryczałt register, so ask to see the policy.
  • Notice period and handover. One published sample contract uses 3 months’ notice and returns documents within 14 days. This matters when you switch accountant.

You will also sign authorisations: UPL-1 for signing tax returns, PEL for ZUS’s online portal, and permissions in KSeF. When the office starts, update your registration data within 7 days to say who keeps your books: in CEIDG, the register of sole traders, for a JDG, or on form NIP-8 for a company.

How to lower the bill

The cheapest accountant is one who never has to chase you:

  1. Send everything in one go, before the 10th. Late documents cost money at many offices, and re-opened months cost more.
  2. Collect foreign invoices yourself. Foreign suppliers usually send them by email or leave them in a portal, not in KSeF. Download them from each portal at the end of the month.
  3. Ask for receipts with your NIP (your tax number), so they identify your business.
  4. Include every bank statement, and explain unclear payments before you are asked.
  5. Send each document once. Duplicates are counted, and some offices charge for them.
