The month package: how to send your accountant a whole month in one folder

One button turns a month into a folder and a ZIP: invoices with readable names, bank statements and a summary. What is inside, and how to send it.

What is in the package

The package is a copy. Your own folders stay exactly as they are.

Good to know:

  • Names come from the content, not the old file name. A download called invoice (3).pdf gets the date, the seller and the invoice number. When nothing could be read from a file, it keeps its original name rather than a wrong one.
  • Two documents that would get the same name get a number added ( 2, 3), so nothing is overwritten.
  • Papers in side folders, such as contracts or letters, stay out. Send those separately when they matter for the month.
  • The language follows the app. With the app in Polish, the files are called Zestawienie.csv and Zestawienie.pdf, the statements go into Wyciągi, the column headings are Polish, and CSV amounts use a decimal comma. With the app in English, the CSV uses a decimal point, which Excel set up for Poland may not read as a number. For a Polish office, switch the app to Polish before you prepare the package.

What the accountant sees in the summary

Both summary files list the same documents, oldest first.

The CSV also gives each row’s file name and whether it is a document or a statement, so the accountant can find the PDF behind any line. It uses semicolons and starts with a byte-order mark, so Excel set up for Poland splits the columns correctly and shows letters like ł and ż properly.

The PDF is an A4 table. At the bottom it gives a total for each currency, an approximate total in PLN, and the names of the statements included. If a rate is missing for any document, the PLN total shows a dash rather than a figure that looks complete but is not.

Watch out: the ≈ PLN column is a guide, not a booking. Under the income tax (PIT) act, a foreign-currency cost is converted at the NBP average rate from the last business day before the day the cost was incurred. In a KPiR (podatkowa księga przychodów i rozchodów, the tax book kept by sole traders on the tax scale or flat tax), the result is written on the document or in an attachment. The app uses the last business day before the document’s date, which is not always the day that counts for tax. Your accountant decides the date and books the official figure. How to make it and send it

  1. Open Documents and pick the month from the year rail.
  2. Check the month. The bar above the list has one chip per bank account. A grey chip with a “+” means that account’s statement is still missing: click it and choose the PDF. Chips appear only for accounts you added in Settings. Look for payments that still have no document (see matching payments to invoices).
  3. Click Prepare for my accountant next to the month’s totals.
  4. Choose where to create it. The app asks each time. The first time it starts in iCloud Drive, after that in the folder you used last. Settings shows that folder under “Month packages go to”, with Ask again to forget it.
  5. Wait for the green line. It says how many documents and statements went in.
  6. Click Send to my accountant… This opens the Mac share sheet with the ZIP:
    • Mail: attach it to an email. For large files, Mail can offer to send an iCloud download link instead of the attachment.
    • Copy Link: available when the package is in iCloud Drive. Paste the link into an email or chat.
    • Messages or AirDrop, if your accountant uses a Mac or an iPhone.
  7. Or click Show in Finder and upload the ZIP wherever your office asks: its client portal, a shared folder, or email.

When a late invoice turns up

File it into the right month and prepare the package again. Files with the same name are replaced, and a new ZIP is made of everything in the folder. A file from the first version that no longer belongs (for example, one that now gets a different name) stays in the folder and in the new ZIP. So when you want a clean copy, delete the old package folder first. Tell your accountant it is a second version.

When to send it

No law sets the day. Your contract does, and it is usually the 5th–10th of the following month. That gives the office time before its own deadlines:

When one of these days falls on a Saturday, Sunday or public holiday, the deadline moves to the next working day.

Some offices charge extra for documents that arrive late. One large online office adds 49–185 PLN net for a sole trader, and 160–600 PLN net for a company, depending on how late (its price list, September 2026). The month-end checklist covers everything to do before you press the button.

With inFakt, or with no accounting service

The month package is part of the free app and needs no provider. You can use the app only to collect, file and pack your documents for an accountant who works in their own software.

If you connect inFakt, an online accounting service (the paid Connect plan, 29 PLN a month), nothing changes for the package. Sending a cost document to inFakt is a separate action in the Inbox, and the package is still built from the documents in your own folders.

This has two consequences:

  • Invoices that exist only in KSeF or in inFakt, and were never filed into your folders, are not in the package. KSeF is the national e-invoicing system. Your accountant can see the invoices issued to your NIP in KSeF once you give them a permission in the KSeF Taxpayer App. Foreign sellers such as Google, Adobe or AWS do not have to use KSeF, and until 31 December 2026 a small Polish seller may still invoice outside it. Those invoices only reach your accountant through you.
  • If your accountant works inside inFakt, ask whether they want the package, the documents in inFakt, or both. The summary still works as a checklist when the documents are already in their system.

What gets uploaded

Nothing, to us. Komplet has no server of its own. The package is made on your Mac by copying files from your own folders, and it stays wherever you chose to create it.

When you send it, it travels like any other file you send. If you create it in iCloud Drive or send it by Mail, it goes through your own Apple account. If you copy a link, check who can open it before you paste it into a chat.

Tip: keep the package folders. They are a neat record of what you sent and when, and they help if you switch accountants.

What the package does not replace

Your own records. Tax documents are kept until the tax liability expires: five years from the end of the year in which the tax payment deadline passed. For 2026 documents, that means until at least 31 December 2032, or longer if the limitation period is suspended or interrupted. See how long to keep documents.

Your accountant’s work. The app does not keep the KPiR, calculate tax or ZUS, or file anything with the tax office. It hands over a month that is complete and easy to check.

What to do next

  1. File this month’s invoices and receipts, including the foreign ones you download from each supplier’s account.
  2. Add the statement for every bank account the business uses.
  3. Clear the payments that still have no document.
  4. Press Prepare for my accountant, then Send to my accountant…, before the day in your contract.

Questions people ask

Does the month package cost anything?
No. It is part of the free Mac app. The paid plan, Connect (29 PLN a month), is for connecting KSeF and inFakt.
Can my accountant open it on Windows?
Yes. It is an ordinary ZIP of PDFs and images, a CSV file and a PDF. The CSV uses semicolons and a byte-order mark, so Polish letters stay intact in Excel set up for Poland, and in Numbers.
Does the package include my KSeF invoices?
Only the ones you filed into your folders. With a KSeF permission your accountant can see the invoices issued to your NIP in KSeF directly, but not those from foreign sellers or, until 31 December 2026, from small Polish sellers who still invoice outside KSeF. See what KSeF leaves out.
A late invoice arrived after I sent the package. What now?
File it into the right month and press Prepare for my accountant again, then send the new ZIP with a short note saying what changed. For a clean second version, delete the old package folder first.
Can I delete my folders once the accountant has the package?
No. The package is a copy for your accountant. You still keep the originals: documents for 2026 are kept until at least 31 December 2032.
